The main difference between businesses that get results on social media and those that don't usually comes down to one thing: planning. Improvising content every day is exhausting and ineffective. A content calendar changes everything.
What is a content calendar?
It's a document (as simple as a spreadsheet or as advanced as Notion or Trello) where you plan what you'll post, on which social network, on what date and time, and with what objective.
Step 1: Define your real publishing frequency
Before planning, be honest about how much time you can dedicate. Publishing 3 times per week consistently is better than 7 times one week and disappearing the next. Rough guide by network:
- Instagram: 3–5 feed posts/week + 5–7 daily stories
- LinkedIn: 2–3 posts/week
- Facebook: 3–4 posts/week
- TikTok: 1 video/day if possible, minimum 3–4/week
Step 2: Define your content pillars
Pillars are the thematic categories of your content. Choose 3–5 relevant to your business and audience. Example for an SME:
- Educational: tips, tutorials, guides (40%)
- Inspirational: testimonials, success stories (20%)
- Promotional: services, offers, CTAs (20%)
- Humanization: team, backstage, work process (20%)
Step 3: The minimum viable template
For each post, define: Date and time | Social network | Content pillar | Format (photo, carousel, video, text) | Content description | Copy | Hashtags | Link or CTA
Step 4: Scheduling tools
- Meta Business Suite: free for Instagram and Facebook
- Buffer: free plan for 3 channels, very simple interface
- Hootsuite: more complete, from €99/month for advanced features
- Later: especially good for Instagram and TikTok
Step 5: Analyze and adjust monthly
At the end of each month, review which posts performed best and why. Do more of what works and less of what doesn't.
